Your privacy matters to us. This policy explains the information we collect, why we need it, and how we keep it safe. We only ask for what's necessary to make Community Impact Pages work well for you, and we're committed to being open about how your data is used and the rights you have over it.
communityimpactpages.com ("we" and "us") is the trading name of Renewal Diary Ltd. We are committed to protecting and respecting your privacy.
1. Legal Framework and Data Controller
This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed. Under the Health and Social Care Professionals Act, the Data Protection Acts 1988-2018, and the EU General Data Protection Regulation (GDPR), we have a legal duty to protect your personal information.

2. Information We May Collect From You
We may collect and process the following data about you:
- Registration Data: Information provided by filling in forms on communityimpactpages.com. This includes registering to use our site, completing your profile, subscribing to our service, or posting community material.
- Location Services: Our site will use the postcode or Eircode you provide at registration to record your location. This is held privately to connect you with local impact opportunities.
- Profile Visibility: Your profile (name and biography) can be seen by people viewing the website. Making your profile private will hide your image and biography; your name will then appear only as your first name and the first initial of your last name.
- Sensitive (Special Category) Data: GDPR identifies sensitive information as 'special category data' (e.g., health, ethnic origin). We do not ask for this at registration. However, you may voluntarily provide it in the 'Notes' section when registering for a volunteering activity. This will only be shared with the community group leader if necessary to facilitate your participation.
- Volunteer Application Data: If you apply to a volunteer opportunity through our guest application form, we collect your name, phone number, and email address. This data is retained for 12 months from the date of submission, after which it is deleted.
- Technical Data: We may collect information about your device, including IP address, operating system, and browser type for system administration and aggregate statistical reporting (fully anonymised).
- Partner Link Data: Some of our partners — for example a sector association, a publication or a community organisation — promote Community Impact Pages using a link of their own. If you arrive through one of those links, we record which link your registration came through, together with the type of registration you chose. We do not record anything about the pages you visited beforehand, and the link identifies the partner, not you.
- Partner Reconciliation: Where we have an agreement with such a partner, our staff may export the registration records attributed to that partner — including the email address on each registration — so that we can check our own records against theirs. Every one of those exports is logged, showing who took a copy and how much of it. The partner is never shown your email address or any other contact detail.
3. Cookies
Our website uses cookies to distinguish you from other users. This helps us provide a high-quality experience and allows us to improve our site. In accordance with Irish ePrivacy Regulations, you can manage your cookie preferences through our dedicated Cookie Policy.
Partner link cookie: if you arrive on our site through a partner's promotional link, we place one additional cookie, named cip_via, on your browser. It holds only a short code identifying that partner's link — it holds nothing about you — and it has a single purpose: if you go on to register, it tells us which partner's link brought you. It is set only by us, it is never read by the partner or by any other website, and it is used for nothing else — not advertising, not measurement, and not building any profile of you. It lasts for your browsing session only and is deleted when you close your browser, or as soon as you complete a registration, whichever comes first.
4. Storage and Security
- Data Location: The website is hosted within the European Economic Area (EEA) and your data is stored within the EEA.
- International Transfers: We may occasionally process data outside the EEA (e.g., using third-party services like Mailchimp). This is only done where appropriate safeguards (such as Standard Contractual Clauses) are in place.
- Security: All information is stored on secure servers. You are responsible for keeping your password confidential. While we use strict procedures to prevent unauthorised access, transmission over the internet is at your own risk.
5. Uses Made of the Information
We use your information to:
- Ensure site content is presented effectively for your device.
- Provide products, services, or information you request.
- Carry out obligations arising from contracts between you and us.
- Allow participation in interactive features and notify you of service changes.
- Employer Programmes: If you participate in a programme run for your employer (e.g., corporate volunteering), we may disclose your engagement or sign-up status to your employer.
6. Legal Basis for Processing
We process your data because:
- We are legally obliged to do so.
- It is necessary for the performance of a contract with you.
- It is in our legitimate business interests (e.g., site security and improvement).
- Where we rely on consent, this will be clearly flagged to you at the point of collection.
7. Your Rights
Under Irish and EU law, you have the right to:
- Access: Find out how we process your data and obtain a copy.
- Correction: Request that inaccurate data be corrected (or do so via your profile).
- Erasure: Request that your data be deleted (within 30 days).
- Object/Restrict: Object to direct marketing or restrict processing.
- Withdraw Consent: Withdraw consent at any time where it was previously given.
- Complain: Lodge a complaint with the Data Protection Commission (DPC) at www.dataprotection.ie.
8. Support Center Records
When you are signed in and use our Support Center, we keep two kinds of record. Both are linked to your user account and to the organisation you were acting for at the time, because they are only useful to us if we can tell one organisation's experience from another's. We do not use either to build a profile of you, and neither is shared outside Renewal Diary Ltd.
- Usage Records: We record which help articles and guides you open, which guides you download, and searches that returned no results — including the words you searched for — each with the date and time, your user account, and the organisation you were acting for. Search terms are stored exactly as you typed them. We use this to see which help content is working and where the gaps are. We keep usage records for 12 months, after which they are automatically deleted.
- Contact Messages: If you write to us through the Support Center contact form, we keep the message you wrote, along with your user account and the organisation you were acting for. We use it to answer you and to understand what our users need help with. Because a question can matter long after it was asked, we keep contact messages for 3 years, after which they are automatically deleted.
9. Changes and Contact
